Scientific Equipment RFQ Checklist
The goal is quote comparability. Every supplier should receive the same controlled technical and commercial requirement.
Identification
Manufacturer, model, product family, incumbent asset, serial/configuration evidence and whether alternatives are permitted.
Application
Process, environment, outcome, standards, operating range, capacity, sensitivity, flow, accuracy and acceptance criteria.
Interfaces
Power, utilities, gas, water, vacuum, network, software, data export, mounting, tubing, probes and facility integration.
Documentation
Calibration certificate, traceability, CoA/CoC, manuals, drawings, FAT/SAT, IQ/OQ, software records and training.
Commercial
Quantity, ship-to country, buyer stage, tax or exemption, payment constraints, seller onboarding and required date.
Attachments
Data sheets, manuals, specifications, drawings, photos, incumbent reports and approved vendor forms—redacted as needed.
Mandatory, preferred and open
Label every requirement. A mandatory requirement can disqualify a configuration. A preference can be traded against cost or schedule. An open item requires supplier clarification. Mixing the three creates false equivalency.
Do not omit the acceptance path
State who approves technical equivalence, who reviews quality documents, what is tested at receipt and what happens if the delivered configuration does not match the quote. The purchasing record should preserve the exact manufacturer, model, options and revision.
