Normalize the scope before comparing totals. A lower base price can hide missing options, calibration, software, accessories, freight or validation work.

Identity

Manufacturer, model, revision, country of origin, supplying party and quoted configuration.

Functional scope

Performance, capacity, sensitivity, range, interfaces, accessories, software and consumables.

Quality scope

Calibration, traceability, certificates, manuals, FAT/SAT, IQ/OQ and electronic-record controls.

Commercial scope

Price, currency, payment, taxes, freight, duties, validity, cancellation and return limitations.

Schedule

Manufacturer lead time, configuration, calibration, transit, customs, site readiness and acceptance.

Lifecycle

Warranty provider, service territory, calibration access, spares, software support and obsolescence risk.

Create an assumption ledger

For every quote, list what is confirmed, excluded, optional, buyer-supplied and still open. Do not award based on a total that depends on silent assumptions.

Alternative products require a gap map

When a supplier proposes an alternative, compare each mandatory requirement and document every deviation. “Comparable” is not the same as equivalent, validated or approved.
