Short answer: a scientific equipment RFQ should identify the application, requested model or performance target, critical specifications, compatibility constraints, quantity, documentation requirements, shipping destination and required date. The more technical the product, the more expensive ambiguity becomes.
The six fields every technical RFQ needs
- Application: what the equipment will actually do.
- Product/model: requested manufacturer and model, if known.
- Critical specification: the parameters that cannot change.
- Quantity: current requirement plus any expected follow-on need.
- Documentation: calibration, traceability, certification or validation documents.
- Required date: the date the equipment is needed on site, not just when the PO will be issued.
When the model is not known
Do not guess. Describe the process and performance target. For a fogger, that may be room size, pressure relationship and visual distance. For a calibration wafer, it may be the inspection platform, wafer diameter, particle size and deposition pattern.
Separate must-haves from preferences
Procurement teams often send a specification where every line appears mandatory even though some items are preferences inherited from an incumbent product. Mark the true acceptance criteria. This gives the sourcing team room to find equivalent or better options without violating the requirement.
Include commercial context
If the request is budgetary, say so. If the quote must be valid for a particular internal approval window, include that. If partial shipment is acceptable, state it. Commercial context can change the sourcing path as much as technical details.

Add a decision log
For complex purchases, list open questions and the person responsible for resolving each one. This prevents a salesperson’s assumption from silently becoming the technical specification.
Attach source evidence
Include drawings, incumbent data sheets, method excerpts, photographs of nameplates and vendor-document checklists when they clarify the request. Remove sensitive information that is not necessary for selection.
